Terms of Service

By creating an account or using MinistryFlow, you agree to these terms. MinistryFlow is built and operated by Smartara for staff onboarding, reinstatement, and termination processing, currently piloting with the Ministry of Health.

MinistryFlow is intended for civil servants and ministry staff involved in staff onboarding and payroll setup: applicants, Accounts Office reviewers, Heads of Department, and Super Admins. Admin accounts (Accounts Office, Head of Department) require approval from a Super Admin before they can be used.

You're responsible for:

• Providing accurate information when you sign up and when you submit an application.
• Keeping your password confidential and using a strong, unique one.
• Everything that happens under your account once you're signed in.

If you suspect your account has been accessed without your permission, change your password immediately and contact us.

You agree not to:

• Submit false, forged, or altered documents.
• Access, or attempt to access, applications or accounts other than your own beyond what your role permits.
• Use the platform to store or transmit anything unrelated to staff onboarding and payroll administration.
• Attempt to circumvent the platform's access controls or security measures.

Application decisions, allowance calculations, and the SAL 1 form generated by MinistryFlow are based entirely on the documents and information you submit. You're responsible for the accuracy of what you upload; reviewers verify it against the documents provided, but MinistryFlow does not independently confirm facts outside those documents.

We aim to keep MinistryFlow available and reliable, but the platform is provided "as is" without guaranteeing uninterrupted access. Planned maintenance or unexpected issues may occasionally affect availability.

We may update these terms as the platform evolves. Material changes will be reflected here with an updated date at the top of the page. Continued use of MinistryFlow after a change means you accept the updated terms.

These terms are governed by the laws of The Gambia.
